My Visit to AMWorks - A Coworking Space in Dublin, Ireland

     
A little over a week ago, my wife and I hopped on a plane to Dublin, Ireland to check out the sites, sounds... and Guinness.

While in Dublin, we had an opportunity to visit AMWorks, a coworking space right in the heart of the city. 

Alan Richardson, Founder of Amworks, was extremely hospitable throughout our stay and a tremendous help in organizing the filming of this interview. Aside from the slight accent (we couldn't agree which one of us had the accent), I found it very interesting how the residents of AMWorks described the benefits they derive from working out of a coworking space. Definitely highlights some common threads that a coworking space offers...regardless of location.

The Single Best Piece of Business Advice I Ever Received

   
I was recently invited to attend a Working Lunch with Rob Basso. 

At each Working Lunch event, guests view the premiere of the latest Basso On Business episode, and get involved in a live, interactive business discussion with Rob and leading experts.The goal of Rob's lunch program is to motivate and support small businesses with innovative presentations, business growth strategies and informative speakers.

The focus of the event I attended was Matt Silver of Ultimate Class Limousine. Matt runs a very successful company but seems to have a little trouble managing the long list of tasks that he is faced with on a daily basis. In many cases, even handling tasks that are responsibilities of his employees.

After the 30 or so business owners watched Matt's video a spirited conversation ensued regarding what Matt could/should do to better organize his business. My contribution during the event = a BIG ZERO!

Anyway, a few days after the event it dawned on me that I missed an opportunity to share one of the single best pieces of business advice I ever received...especially as it is so relevant to Matt's organization challenges. 

The following is a letter I sent to Rob detailing this advice (It was re-posted as a guest blog on Rob's site)

Hi Rob,

Not sure if this is too little too late, but before you write me off as a chickensh** for not participating during your event, here is my 2 cents.

My focus for the last 10 years has been growing various internet ventures which in most cases has been a relatively one-man show. Unfortunately, during the event I did not participate simply because I did not go back far enough in my pea brain to recall (aka “blocked out”) a 3 year period in which I was in a very similar situation to Matt.

In 1999-2001 I gave up my 15 client per day/7 day per week personal training business to become the managing partner in a 30,000 sq. ft health club in Long Beach that we took over from an existing company. The health club had well over 75 employees, 6 Indoor Pools, Indoor Track, Sauna, Steam Room, Nursery, Physical Therapy, Aqua Therapy, free weights, cardio, and much more.

Much like Tony’s business, the pace was frenetic and I dealt with one problem after another, making it almost impossible to ever get ahead of the oncoming barrage of problems.

Unlike Matt however, I really had NO experience in the health club business, so it was doubly challenging for me as far as getting organized. (ex. Running  a facility, sales, personnel management, bookkeeping, etc. ).

Here is a small sample of a few of the “small” (yeah right) problems I had to deal with:

-   The Hydraulic line which powered the underwater therapy bikes and treadmills ruptured filling an entire pool filled with jet black oil from top to bottom (think BP disaster in Long Beach)

-   The entire wall of one side of the building fell into the parking lot

-   The heavy glass/steel lid on the pool filter exploded nearly decapitating one of our maintenance workers

Anyway just when I thought I was never going to get my arms around this huge disaster of a business, I received the BEST piece of business advice that I ever received.

It was called the 20-80 rule for employees. If a problem occurred in any area of the health club, an employee should spend 20% of the time focused on determining the root of the problem and 80% of the time should be focused on a solution to the problem. AND most importantly, employees were not allowed to come to ME with a problem without 3 possible solutions.

I basically called for a one on one meeting with every single employee and told them that moving forward if they wanted to keep their jobs they would have to abide by this rule.

The results were amazing!!!

1)   It empowered every single employee to OWN their dept, even if their dept. was simply keeping the bathrooms clean. Almost immediately everyone became an expert  in their position.

2)   It  allowed me to make quick decisions to fix problems without having to delve into possible solutions myself.

3)   It made it much easier to see which departments might require staff changes

Most importantly, it allowed me to oversee the business without having to “do it all myself”. Based on what I heard at the event, this seems to be one of Matt’s biggest issues.

Perhaps this piece of advice that was so helpful to me can also be helpful to Matt.

How Do You Encourage Collaboration in Your Shared Office/Coworking Space?

    
The following is a re-post from an article I came across a few weeks ago on Fastcompany.com entitled: 11 Ways You Can Make Your Space as Collaborative as the Stanford d.school. The article gives some very good suggestions for creating a collaborative workspace within an organization. (all 11 suggestions are below)

But what about environments such as coworking spaces or shared office spaces where many different companies are residing in the same space?  As we continue to tour/interview founders and residents of coworking/shared office spaces, here are a few of the questions we will consistently seek answers to.

Is collaboration actively encouraged or does it happen naturally on its own? 

Was the layout of your space specifically designed to encourage collaboration?

Have you made changes to the original design of your space to improve the interaction between your residents?

Does your space offer any special type of furniture/equipment that has increased the collaboration within your space?

We will compile all of our findings and release them as part of a future article as well as a new section on our interactive guide to leasing office space for entrepreneurs and startups. Later this week we will be interviewing one of the top office furniture dealers on the east coast to discuss (affordable) new advances in workstation design, specifically as they pertain to maximizing interaction/collaboration in the office.

Here are the 11 suggestions from the Fast Company article:

1. Start with what you have. "We started in a trailer," Kembel points out, "with the 'd.school' as a sign on the table." Kembel's advice: Claim a space and label it.

2. Go to the people who are interested first. Form a crack team of true believers to spearhead your campaign. Revolutions start from the bottom up.

3. Empower your team to change their space. Somebody high enough up the food chain needs to defend this activity against facilities managers who may not be amused. Then, be willing to keep changing things. Try out different ways to configure space to see what works best.

4. Watch the behavior of the group and take notes. Have somebody in your band of innovators own this task. What's working, what isn't? "Try, reflect, modify," says Kembel.

5. Develop group-sized artifacts. Whaa? In short, forget the spreadsheets with the tiny type. "Get your ideas up in big enough form so that others can see and add to them."

6. Keep any prototypes, sketches, or idea-jam artifacts low-rez and not precious. "Don't get too formal too fast," says Kembel. Making things precious locks them in too soon, short-circuiting potential improvements.

7. Show your work in progress. "Put your underwear up on the line and let people comment. But keep it safe," Kembel says. No rude comments allowed.

8. Do something simple to surprise people. At the d.school, they painted the women's restroom lipstick pink, and hung disco balls. "That makes people realize that somebody cares about your experience," Kembel says.

9. Invest more in "we" spaces than in "I" spaces. Cozy nooks for teams, not plush corner offices for the alpha dogs.

10. Mix up seating options. Take the table out of the room and sit on the floor. Vary seat heights. Change customary positions at meetings. For example, put the group leader in the middle, instead of at the head of the table. Try holding a meeting where only standing is allowed. In general, work to lower status markers.

11. Make idea generation and capture easy. Any non-porous surface can be a whiteboard, says Kembel. Buy a sheet of sheer acrylic at Home Depot and mount it on a wall as a writing space. Keep markers handy. Put prototyping tools out where people can grab them when an idea strikes.

"Creativity follows context," says Kembel. The main idea, he says, is not to segregate creativity from other activities. "You don't need to be fancy to do it," he says.

During my visit to Chicago this weekend, I had the opportunity to visit a very cool coworking space located right in the heart of the city. From the minute I walked in the space I received a warm welcome and was invited to take a tour of the space. Immediately following the tour, I requested an opportunity to film the space and interview the manager and some of the entrepreneurs doing business at Officeport CHI.

Listening to a few of the residents discuss how the space has improved their productivity as well as the overall image of their company really drives home the value of the coworking concept.

The space was huge, clean and well designed, complete with it's own man-made putting green. The only amenity that I felt was missing was a full court nerf basketball hoop...perhaps that is in their future plans.

When my office space was in Manhattan...using a long commute to your advantage.

 
This post is about making lemonade from lemons and inspired by today's beautiful weather and how much I miss commuting into Manhattan.

When I was in Manhattan...

I had to drive 20 minutes to the subway and then hop on the N or W train for about 45 minutes. All together, my commute was about an hour longer than it is now.

When I was in Manhattan...

I used to read between 2-3 books every two weeks during my commute. Now the only time I get to read is right before bed and I am lucky if get through 1 book in the same amount of time.It is not uncommon for me to wake up with a string of drool attaching my mouth to the last the page I was on when I fell asleep.

When I was in Manhattan...

I utilized the bevvy of subway advertisements, graffiti and other signage as creative inspiration for logos, websites and other graphic design projects I was working on. Sometimes just seeing a unique color combination used in a totally unrelated advertisement was enough to inspire a winning design concept.

When I was in Manhattan...

I took full advantage of nice days like today. Instead of hopping on the train at the station right outside my office, I would walk 40 blocks to the last possible train station. In addition to the health benefits I reaped from these long walks, I also was able to pull design inspiration from random store signs, logos and other advertisements displayed throughout the city.

When I was in Manhattan...

I would often utilize my subway ride as a way of "cooling off" before responding to a difficult email. Many times after taking this time to re-read an aggressive email I realized that the intention of the message was not nearly as aggressive as it first seemed. 

When I was in Manhattan...

I used to take great pleasure in watching people learn what is meant by the bodies "stretch reflex". On the subway, this reflex was demonstrated by the person that kept dozing off only to awaken temporarily (and embarrassed) when their head dropped too far, and their neck muscles contracted violently to keep their head from falling on the floor. It was like dinner-theater on the train.

Clearly, everybody has a different situation as it relates to their commute to and from the office. Whether you have a long walk, drive, train ride, bus ride or even plane flight, the question you should ask yourself is - How can I utilize my commute to work as an advantage?

Perhaps you can:

- Catch up on some reading

- Listen to an interesting podcast or audio book

- Get some exercise

- Find creative inspiration

- Decompress

- Explore new parts of the world/neighborhood

- Network with other commuters

As you search for your next office space, perhaps a little bit of a longer commute can actually turn out to be a good thing after all.

Shared Office Space and White Noise - A Toe-Tapper, A Candy Wrapper...A Knuckle Puncher

My previous shared office space was in an awesome loft building in trendy SOHO, NY. While the space was awesome, it was situated in an old building and the wood floors were somewhat creaky.

I am not sure if the guy a few desks in front of me was trying out for the Tap Dance Kid or he was getting ready to take over drums for Neil Peart of Rush, either way, he was a compulsive toe-tapper. From the minute he sat down, to the minute he left for the day, his foot was going.

Step back a few years earlier and the star of the "annoying show" was played by the famous "candy wrapper", a.k.a the guy who only purchased candy covered in loud wrappers. And much like "toe tapper", "candy wrapper" was busy doing his thing ALL DAY LONG.

The part of Knuckle Puncher would have been played by me, luckily I was able to control myself. Therefore we will just chalk up knuckle puncher to a character that only made the cutting room floor.

White noise machines are small, compact devices that emit a gentle “humming” sound, much like that of a fan. The white noise machine's hum is actually composed of every sound audible to the human ear, so that any one individual sound in the environment is “absorbed” into the white noise machines sound. This phenomenon is similar to the way in which one individual voice is indistinguishable from that of a large crowd.

Whether you're a space holder or an entrepreneur/small business looking to move into a shared office space, you really need to consider the acoustics and potential for distractions. Over time these little annoyances can add up to hours of lost production for everyone sharing the space.

Your Office Space Is An Extension Of Your Brand

 
Lets face it, from the first second a potential client, partner, investor or employee steps foot into your office space, your company is being judged. Whether consciously or sub-consciously, a visitor to your space will make some initial assumptions about your company based on the aesthetics, cleanliness, culture, design, vibe, lighting, noise levels, floor plan, temperature, furnishings, etc. of your office.

Does this mean that every office needs to look like Google's headquarters?

NOT AT ALL.

It simply means that if the elements above are not consistent with the rest of your brand/corporate message, you could be creating an unnecessary strike one against your company.

Here are a few examples of an office sending an inconsistent brand message:

- You're an interior design firm but your reception area is cluttered with torn furniture that looks like it was purchased at a garage sale.

- Your start-up company is playing host to a group of penny-wise investors and your space is decked out with the most expensive italian leather furniture that money can buy.

- You're a corporate attorney dealing with very sensitive information and your client's files are openly displayed on your desk.

- Your an office furniture company and your space is completely furnished with another companies furniture. 

- You're a graphic design/branding firm with an outdated corporate logo emblazoned throughout your office.

Stepping back and really looking at your office space from an outside perspective can be difficult if not impossible. By clearly defining your brand, identifying the types of visitors you will be hosting and being crystal clear about what you want your space to portray about your company, you put yourself in a much better position to get valuable 3rd party input.

Perhaps you can create a short survey and invite a few friends and family members to visit your space and offer feedback. This exercise might give you a much better idea of what vibe your office is giving off.

Of course if you're an entrepreneur or small business looking to share space within an existing office, your ability to control every element will be somewhat limited. With that said, you can still do your best to search for available options that best represent your brand. 

Much like your companies website, your office space can go a long way to help ensure that your brand message is consistent.

Question: Have you recently downsized your staff?

Question: Did you overestimate the amount of office space your company needs?

Question: Did your subtenant move out unexpectedly?

If the answer to any of these questions is yes, it is quite possible that you have been left with unused office space. Assuming your company is fortunate enough to absorb this financial burden, you might want to consider the following great ways of utilizing this open space. 

- a full court nerf basketball hoop

- an indoor current pool

- an octagon

- a paint ball course

- a puppet theater

For the rest of us, sharing our unused office space with another company can mean the difference between business as usual and defaulting on a lease.  In addition to the revenue and cost sharing benefits, the networking opportunities provided by sharing office space can also be quite valuable.

While sharing your office space with an entrepreneur or small business can certainly seem like a "no brainer", there are quite a few things space holders should consider before deciding to go this route. Some of these considerations include: 

- Does your lease strictly prohibit subleasing? If so, perhaps you can try re-negotiating with your landlord. The commercial real estate crisis has made some landlords more flexible than in the past. 

- Is the subtenant required to sign a formal sublease?

- Is the subtenant required to sign a non-disclosure agreement?

- Will the subtenant have 24/7 access to the building? To the space?

- Will the subtenant be required to submit a security deposit?

- In addition to the rent, what expenses will subtenant be responsible for sharing?

- What furniture/supplies will be provided to the subtenant?

- Will the culture of the subtenant's company mesh with yours?

- Will the subtenant have their own private office?

- Will subtenant be provided keys to the space?

- Would it make sense to install 24-hour security cameras in the space?

- Does the shared space require any type of build-out?

- Are there any events, meetings or happenings in your space that would prevent the subtenant from being able to come in the office?

Clearly sharing office space has its inherent risks and rewards. If you do not know the potential subtenant, in addition to a formal background check, you might also want to consider doing some research on venues such as facebook, twitter, linked in, etc. If the subtenant seems sketchy on these platforms, you might want to think twice before making a decision that could cost your company dearly in the long run.

What does my score mean?

Your Walk Score is a number between 0 and 100. Here are general guidelines for interpreting your score:

• 90–100 = Walkers' Paradise: Most errands can be accomplished on foot and many people get by without owning a car.
• 70–89 = Very Walkable: It's possible to get by without owning a car.
• 50–69 = Somewhat Walkable: Some stores and amenities are within walking distance, but many everyday trips still require a bike, public transportation, or car.
• 25–49 = Car-Dependent: Only a few destinations are within easy walking range. For most errands, driving or public transportation is a must.
• 0–24 = Car-Dependent (Driving Only): Virtually no neighborhood destinations within walking range. You can walk from your house to your car!

Why Walking Matters

Increased social capital: Walking increases social capital by promoting face-to-face interaction with your neighbors. Studies have shown that for every 10 minutes a person spends in a daily car commute, time spent in community activities falls by 10%.³

Stronger local businesses: Dense, walkable neighborhoods provide local businesses with the foot traffic they need to thrive. It's easier for pedestrians to shop at many stores on one trip, since they don't need to drive between destinations.

So in no particular order, here are 10 reasons entrepreneurs MUST bring "health and fitness" into their office:

1) Stress Relief - As an entrepreneur, it is inevitable stress and you will become intimate coworkers. How you manage this stress will have a direct impact on your ability to perform at work, your general health and your sanity. A 30-45 minute exercise session is one of the most effective ways to keep your stress at  manageable levels.  (i.e. walk, jog, run, hit the heavy bag, hit the weights, go for a  swim, whatever)

2) Productivity - Let me guess you work long hours and don't have time to fit exercise into your day. Some of the most successful/busy clients I have ever worked with were able to fit exercise into their schedule, but you can't? I cry Bu** sh**! You need to re-organize your schedule to make it fit.

An hour spent exercising before, during or after your workday coupled with a proper eating plan can help ensure that you have a generous amount of energy during the day and sleep more soundly at night. Two important commodities for entrepreneurs...so its worth organizing your day accordingly.   

3) Monkey See/Monkey Do - Whether you like it or not, you are a role model (the head monkey) to your employees.  If your employees see that you are passionate about health and fitness, it is very likely they will follow suit. The result: more productive/creative employees, less "sick days" and possibly a better looking staff picture.

4) Self-Confidence - Your ability to sell your concepts, products and even yourself will often boil down to the level of self-confidence you are able to portray. Regardless of the starting fitness level of clients I have trained, one thing always held true, a noticeable improvement in self-confidence after only a few weeks of consistent exercise.  

5) A Direct Connection Exists Between Exercise and Brain Performance - In today's challenging business environment, the slightest competitive advantage could mean the difference between a homerun venture and Chapter 11. Over the past several years, several research projects have delivered indisputable proof that exercise and brain performance are linked. Perhaps doing something (such as exercise) to strengthen the "noodle" can ensure you fall on the homerun side of the equation. 6) Improved Morale - A company that exercise together...well never mind that. The fact of the matter is that exercise often serves as a good opportunity for employees to get together outside of the workplace. I am convinced that one of the reasons many personal trainers are so well liked is they are in contact with people at a time when the beta endorphins are elevated. If you buy into this train of thought you can see how exercising together might result in a more cohesive staff.

7) Reduced Employee Turnover- Personal trainers often work with the same clients for years as their clients become dependent on the motivation, attention and direction offered by the trainer. If your encouragement has resulted in a workforce that feels good about themselves due to exercise, don't you think they will think twice before leaving you?

8) Improved Creativity - Many a great idea has been conceived on the treadmill. Regular aerobic activity improves the efficiency of the circulatory system ensuring more oxygen rich blood is delivered throughout the body..this includes the brain. Aerobic Exercise = the electricity to power the "light bulb" over your head.  

9) Consistent Energy Levels Throughout The Day - Without getting into a scientific explanation, eating small meals (low in simple sugars) spread throughout the day will improve the likelihood that you will have a consistent level of energy throughout the day. Very big meals will often leave you feeling sluggish and unable to concentrate.

10) You Will Help Prevent Cardiovascular Disease and Other Illnesses Caused From Inactivity - I recently came across a funny cartoon, a doctor is standing with his patient and says "What fits your schedule better, exercising one hour a day, or being dead 24 hours a day?" The daily stress we face as entrepreneurs can result in severe consequences to our health. Embracing "health and fitness" as a lifestyle can help prevent many of these illnesses before its too late.

Some actionable advice- I highly recommend hiring a personal trainer for 2 or 3 sessions every 6 months. Be clear that you are looking for an organized program that you can do on your own. Exercising with proper technique and intensity levels will help prevent you from getting injured and improve the chances you will see results...and stick to the program.

Time to put my entrepreneur hat back on and focus on making Open Office Space one of those homerun businesses.
